Position Summary

This position provides administrative and clerical support to the Neurology Department in the neuromuscular section. This includes working as an administrative assistant to the Muscle Study Group, Kansas City Neurology and Neurosurgery and the Western ALS Study Group. Assistance with grant submissions, monthly financial reconciliations, sending membership dues to members, processing travel requests, purchasing, and completing internal forms under the direction of the Research Instructor.

Required Qualifications

Bachelor’s degree in business administration, education or related field, with at least one year of relevant work experience. Experience may substitute for education on a year-for-year basis. Strong oral and written communication skills. Demonstrated ability to work with detail, good organizational and coordination skills. Strong word processing and spreadsheet skills. Exceptional customer service skills. Demonstrated ability to work collaboratively in a team setting.

Preferred Qualifications

General accounting and/or finance experience. Experience using Microsoft Access or other database programs. Experience with making travel arrangements.

Job Duties

Description of Job Duty

Manage and update membership list for the Muscle Study Group, Western ALS Study Group, KU Neurology course and Kansas City Neurology/Neurosurgery society. This includes invoicing and collecting dues, planning meetings, correspondence with members of the various group.

Assist faculty with the submission of grant applications and annual reports in coordination with the Research Institute. This includes formatting, proofreading, budget projections and completion of all internal paperwork.

Provide clerical support for the program including assistance with monthly financial report and reconciliations.

Enter and process travel requests and reimbursements for faculty and staff.

Coordinate and schedule meeting sessions and venues.

Coordinate operational tasks necessary to ensure the smooth and efficient running of the department such as checking office equipment for proper function, maintain supply levels and processing work orders for repairs and maintenance as needed.

Coordinate operational tasks necessary to ensure the smooth and efficient running of meetings such as scheduling of microphone and audiovisual equipment’s, maintain supply levels such as handouts, and refreshments.

Coordinate administrative support for various programs; type correspondence and other documents from written or oral communication using Microsoft Word and Excel. Coordinate purchase requisitions and travel forms using Marketplace.
